A ceiling cassette is not a wall unit with a different lid. Here is what a proper service visit actually covers, why the ceiling above it sets the price, and when the honest answer is a survey.

“Ceiling aircon” covers several quite different machines, and knowing which one is above your ceiling changes both the service scope and the price. The quickest test is what you can see from the floor:

The refrigeration is the same. Everything around it is not, and that is where the cost and the risk live:
None of that makes a ceiling unit worse. It makes it a job that has to be scoped, and it is why a quote given over the phone from “how many units?” alone is a guess.
On a wall split, access is free. On a ceiling unit it is often the largest single variable in the quote, and it is entirely determined by decisions made when the ceiling went in. Things that push a straightforward service into a difficult one:
Two practical asks: make sure every ceiling unit and every condensate pump has a permanent access panel, and keep a simple asset list of what is above each ceiling. Both are cheap to arrange and both reduce every future visit.
Most cassettes and concealed units cannot drain by gravity, because the drain line has to run through the ceiling void to a distant point. A small condensate pump lifts the water instead, usually triggered by a float in the drain pan.
This is the component that turns a maintenance oversight into a claim. When the pan silts up, or the float sticks, or the pump gives up, the water has nowhere to go but over the edge of the pan into the ceiling. What the tenant sees is a stained tile or a drip onto a desk; what has actually happened is a slow overflow that may have been soaking insulation and cabling for days.
A competent service visit therefore treats the drainage as a first-class item, not an afterthought: the pan is cleaned rather than wiped, the float is checked for free movement, the pump is proved to run and lift, and water is poured into the pan at the end to demonstrate it clears. If a service report does not mention the drain pump on a cassette, the visit was incomplete. Use this as a scope to hold a contractor to. A visit that skips the bottom three rows is a wipe, not a service:

The last row is the one cheap contracts skip and facility managers value most — a report per visit, per unit, so you have a record rather than an invoice and a promise.
A ceiling-concealed unit adds a complication a cassette does not have: the air it cools does not arrive at the machine directly. It is drawn through a return-air grille, along a return path or plenum, through a filter that may be at the grille rather than at the unit, and then pushed out through supply ductwork to the diffusers.
That path is where concealed systems are routinely neglected:

The cassette figures below are published market ranges for exactly this job. The ducted and AHU rows genuinely have no honest number, and it is worth being clear why: the work is set by the access route, the filter arrangement, the length and condition of the ductwork and the plant space — variables that differ per building, not per unit. A contractor who gives you a firm ducted price over the phone has priced a guess:

The practical obstacle to ceiling servicing is almost never the machine — it is that the room below it is in use. Three things make it manageable:
For clinics, food premises and anywhere with a hygiene regime, agree in advance what the contractor leaves behind — a chemical wash produces run-off and a clean-down should be part of the scope, not a surprise. If the space needs a proper reset afterwards, an office and commercial clean is the companion job.
For one or two cassettes in a small office, calling someone when it is due is perfectly rational. Past roughly a handful of units, ad-hoc servicing starts to fail for reasons that have nothing to do with price: nobody owns the schedule, the units drift out of cycle, and the first sign that a drain pump has failed is a ceiling stain.
