The short version

Both technologies do the same job — they check that the person at the door is on a list, without a card that can be lent, lost or cloned. They differ in what they need from the environment and in what they ask of the people using them.

Fingerprint needs contact and a readable ridge pattern. Face needs a view of the face and enough light to see it. That single difference drives almost everything else: cost, speed, where the unit can be mounted, what defeats it, and how staff feel about it. Everything below is the detail behind that sentence.

Notice how wide the face band is. That is not vagueness in the data — it is a real split in the product category between a standalone terminal that keeps its own user list on the door, and a networked terminal that is administered centrally and tied to turnstiles, lifts or time-attendance. The two are different products that happen to share a name.

A smart lock is not an access-control door

Search for either technology and half the results you get are residential locksets — a handle-and-cylinder lock with a fingerprint pad or a small camera built into it. They are a legitimate product and much cheaper, but they are not the same thing as an access-controlled door, and comparing their prices to the table above is comparing two different jobs.

A keypad or fingerprint reader on a gate is a third thing again — priced at the gate rather than at a door, and covered on that page.

The differences that matter for an office: a lockset carries its own battery and its own small user list, is administered at the door rather than centrally, generally has no exit button, no backup power from the building, no interface to anything else, and no meaningful audit trail you could hand to anyone. For a store room or a director’s office in a small business that can be entirely sufficient. For a main entrance with staff turnover, it is not. Where fingerprint readers struggle

A fingerprint reader compares the ridge pattern it can see against the template it stored at enrolment. Anything that changes what it can see is a failed read, and in Malaysian offices and sites the usual culprits are mundane.

None of these are reasons to avoid fingerprint. They are reasons to test it on your own doorway with your own staff before committing, which is a request any serious supplier will accommodate.

Where face readers struggle

A face reader needs a usable view of the face, which makes its weak points environmental rather than physical.

Face terminals also make people ask questions they never ask about a card reader, and those questions are legitimate. The rest of this page deals with them.

Throughput: the number to measure, not to be told

Every supplier will tell you their unit is fast. Rather than argue about specifications, measure the thing you actually care about: how long it takes twenty people to get through your door at 8:45am.

Set up the demo at the real door, in the real light, with real staff — including the ones with worn fingers, the tall one, the short one, and the one who wears glasses. Have someone time the queue rather than an individual read. A unit that reads one person impressively fast and then makes every third person try twice is slower in practice than a unit that never fails, and a queue at the entrance is the complaint that gets a system ripped out six months after it was installed.

That demo also tells you whether you need two readers at the main entrance instead of one, which is a decision far cheaper to make before the cable is run.

Both are biometric data under the amended PDPA

This is the part of the comparison that has nothing to do with which technology reads faster, and it applies to both of them equally.

Verified wording, quoted exactly: Fingerprint and face-recognition door access now sits in the Personal Data Protection Act’s most tightly controlled category. The Personal Data Protection (Amendment) Act 2024 inserted a definition of ‘biometric data’, meaning ‘any personal data resulting from technical processing relating to the physical, physiological or behavioural characteristics of a person’, and added biometric data to the definition of ‘sensitive personal data’ in section 4 of the Act. Both changes took effect on 1 April 2025.
What the Act actually requires: Section 40(1) then provides that a data controller shall not process any sensitive personal data of a data subject except in accordance with the conditions it lists, the first of which is that ‘the data subject has given his explicit consent to the processing of the personal data’. Explicit consent is not the only route — section 40(1)(b) permits processing that is necessary for specified purposes, including exercising or performing a right or obligation which is conferred or imposed by law on the controller in connection with employment, and section 40(1)(c) covers information the data subject has deliberately made public.

Read the second block carefully, because two things in it are routinely misquoted. The condition named first is explicit consent — and the wording is explicit consent, not written consent. And explicit consent is not the only route in the provision; other conditions sit alongside it. A supplier who tells you either that a signature is legally mandatory or that you can simply mandate enrolment because it is a workplace is oversimplifying in opposite directions.

The practical standard: But ordinary implied consent is not enough for a biometric reader, and an employer rolling out fingerprint or face time-attendance should have a clear privacy notice and explicit consent on file.

So the sensible position for an employer is not complicated, and it does not need a compliance product sold with the hardware:

  • Tell people, in a written notice, what is being collected, why, where it is stored, how long it is kept and who can reach it.
  • Take consent as a positive, specific act rather than as silence or as a line buried in a handbook nobody signed.
  • Keep the notice and the consent on file, so that the answer to “show me” is a document rather than a memory. Writing it down is our recommendation as a matter of record-keeping, and the sentence above supports keeping it on file.
  • Where your own situation is not obvious — a union environment, a contractor workforce, staff who are minors — take advice on it, because that turns on employment law as much as on data-protection law.

The staff member who does not want to be enrolled

It happens on almost every rollout, and handling it badly is what turns a hardware project into a personnel problem. Two things help.

The first is engineering: specify a second credential type from the start. Nearly every biometric terminal will also read a card or a PIN, and a door that accepts both costs very little more than a door that accepts one. That gives you an answer for the person who cannot be read reliably as well as for the person who would rather not be, and it gives you a working door on the morning the biometric database is unavailable.

The second is procedural: decide in advance who handles the conversation and what the alternative is, and write it down before the terminal goes up. Whether a particular refusal can be managed in a particular workplace is an employment-law question about your own contracts and your own circumstances, so take advice on it rather than treating the hardware manual as the answer.

Where the templates live, and what happens if they leak

Ask, before you buy, exactly where the biometric templates are stored: on the door terminal itself, on a controller in a cabinet, on a PC in the office, or in a supplier’s cloud. That answer determines who can reach them, what happens when the unit is replaced, and what you would have to do if it went wrong.

Why it matters: For a security system this bites when an NVR is hacked or an access-control database holding fingerprint or face templates is exposed.

Two practical consequences. Ask what happens to the stored templates when a terminal is decommissioned, returned under warranty or replaced — a swapped-out unit with a live user database in it is a loose end. And ask who at the supplier can access your system remotely for support, because remote support is normal and worth having, but it should be a named arrangement rather than a surprise. Enrolment, leavers and the administration nobody budgets for

  • Enrolment takes real time. Every person has to be present and enrolled once, and fingerprint enrolment is usually more than one finger each. Agree how many users are included in the installation price and what an extra enrolment session costs.
  • Leavers are the whole point. The security value of the system is that a departed employee’s access ends the day they leave. That only happens if somebody in the office actually removes them, so name that person and give them a second administrator as backup.
  • Visitors and contractors need a plan. Biometric enrolment for a one-day contractor is impractical; a temporary card is the usual answer, which is another reason to keep a card credential alive.
  • Time-attendance is a separate decision. Using the same reader for payroll adds software, a policy and a support relationship. It is often worth it, but it should be quoted as its own line rather than assumed.

  • Can we demo the exact model on our own door, in our own light, with our own staff?
  • Where are the biometric templates stored, and who can access them — including remotely?
  • Does the terminal also accept a card or PIN, and is that included in the price?
  • How many users are enrolled as part of the installation, and what does a later enrolment session cost?
  • What happens to stored data when a unit is replaced or returned under warranty?
  • Is the door hardware — lock, exit device, power supply, backup battery — in this quote, or only the terminal?

Which is better for a Malaysian office, face recognition or fingerprint?
Neither is better in general, and the deciding factors are environmental. Fingerprint is cheaper and needs no lighting design, but it is defeated by gloves, by wet hands and by worn or dusty fingers. Face is touchless and queues better, but it needs a usable view of the face, which makes a sunlit glass lobby or a dark back corridor a real design problem. For kitchens, clean rooms, clinics and workshops the practical answers are a face terminal rated for the location or a plain card reader. For an outdoor or semi-outdoor door, what matters more than the technology is whether the unit is rated for the exposure and has a hood over it.
