One room, many jobs: how to plan a small office that works for the team and looks right to visitors.

A small office works when every square foot has a job: one clear entry point, desks placed for daylight and power, one room that can close for calls and meetings, and storage built into the walls instead of standing on the floor. Decide the zones before the finishes, keep partitions to the minimum you really need, and spend on the things staff touch every day. What makes a small office different

In a large office, reception, meeting rooms, the pantry and the desks each get their own area and the designer's job is to balance them. The zones a small office needs

List what actually happens in the office before anything is drawn. Most small offices need the same short list of zones, and the trick is to let them overlap without getting in each other's way:

Layout: one open room or a room plus a meeting room

Most small offices end up with one of two plans. The first is a single open room with desks along the walls, a shared table in the middle and the pantry and storage on one wall. It is the cheapest to build and the easiest to rearrange, but there is nowhere to take a private call and every visitor walks past every screen.

The second adds one enclosed room: a small meeting room near the entrance, or a manager's room at the back. Put a meeting room near the door so visitors never cross the working area; put a manager's room where the owner can see the floor. A glass front keeps daylight moving through the office and makes a small space feel bigger. Keep one clear walking route from the door to the pantry and the toilet. Desks should face into the room or along the window, not with their backs to the entrance, and nobody should sit directly under an aircon outlet.

Walls: drywall, glass or none

Partitions are usually the first item to grow in a small office budget. For a small office the rule of thumb is simple: build only the rooms you would pay to rebuild. A single meeting room with a glass front and a solid back wall usually does more for the office than several half-height screens. If sound matters, ask for the insulated double-board wall and a solid door, and remember that sound travels over a partition that stops at the false ceiling.

Storage and joinery that saves floor

Loose filing cabinets and shelving units take floor space, collect clutter and make a small office look untidy. Built-in joinery along one wall, from floor to ceiling, holds far more in less space. Choose finishes that survive daily use: laminate faces and edges that do not chip when a chair hits them, and solid-surface or quartz tops where there is water. Keep the router, switches and modem in a ventilated, lockable cabinet rather than on the floor under a desk.

Light, aircon and noise in one room

In a small office, one badly placed light or aircon unit affects everybody. Power and data points

Plan the power and data points around the final desk plan, not the empty room. Each desk needs power and a network point within reach; the printer, the router and the pantry need their own sockets; and the reception counter and meeting room need points for screens and chargers. Shoplots, SOHO units and upper floors

Many small offices are on the first or second floor of a shoplot, in a SOHO unit or in a small suite in an older office block. Each brings its own limits. On a low budget: where to spend and where to save

  • Spend on the things staff use all day: even lighting at desks, enough power and data points, a comfortable aircon layout and one room that closes.
  • Spend on the entry wall. A clean wall with the company name is the cheapest way to make a small office look established.
  • Save on partitions: fewer rooms, glass only where it earns its keep, and no half-height screens.
  • Save on the ceiling: keep an existing ceiling grid in good condition rather than replacing it for looks.
